August 2017 General Manager’s Report

“It’s Good to be Home!” Not often does one have the opportunity to return to a place of such fond memories. It is my privilege and honor to be back in the BPCA office to provide leadership and service to this awesome community.

Much has changed since I left in 2005–new staff, new office location, many new residents and new house structures. As many changes as have taken place, much remains the same. It has been great to get re-acquainted with many of you and I appreciate all of the words of welcome and encouragement.

Now it is time to move forward with the challenges we have before us. My first few weeks on board have definitely been a “re-education” into the comings and goings of the Bay Point community. One of the biggest hurdles has been trying to get a good handle on the records management system of the Association itself. You might imagine the vast number of documents, correspondence, memorandums, meeting minutes, financial statements, etc. that a large organization like BPCA must maintain in order to be compliant with not only our governing association documents but with insuring we are doing business in accordance with Florida Statutes. Good, professional records management is an absolute must in a business such as ours. For that reason, we are very pleased to announce that one of our residents, Frank Walker, has agreed to assist us in developing a program that will allow us to be compliant in all areas of records management. Frank has many years of experience in much more detailed areas than association management, which will benefit us greatly.

I’d like to share with you an example of why this area of records manage-ment is so important by referring to the current situation concerning the somewhat heated issue of ownership of the Bay Point News & Calendar. As articles have been posted, letters written, and much conversation concerning this situation has been offered, one prevailing factor has remained through-out the recent series of events–no official records indicating a clear path of commitment or intent is available for review. Even during transition of leadership and changes in newspaper personnel when records should have been clear, documented evidence does not exist. It should go without saying that intent and opinion is often misunderstood, especially when there is lack of evident proof.

This is only one example of the need to insure that proper records are not only initiated, but are also maintained. I could list several others that have arisen as well with similar results and frustration. My commitment to you, the owners in this community, is to provide overall leadership not only in the daily goings on of the community, but in ensuring that the legal entity and continuity of this association is well maintained and handled according to your expectations.

I hope you’ll stop by the office to meet our entire staff, including myself, Tom Worrel, Debra Haydn, and Lauren Clack. We are all here to serve you and look forward to many days of productive and professional service to you.
